What booking by phone actually costs you

None of this looks like a crisis. It just quietly eats your week and your margin.

Missed calls while you’re with a customer — and they book elsewhere

Twenty minutes of back-and-forth to agree one time slot

The no-show who forgot, and the empty hour you can’t sell

Two people written into the same slot in the paper diary

01 — Book Online

Your diary, open at 11pm on a Sunday

A booking form sits on your website showing only the times you are genuinely free. Customers pick a service, pick a slot and confirm — while you are asleep, with a customer, or on a job.

  • Only real availability shown — no double bookings
  • Buffer time between jobs so you aren’t booked back to back
  • Book by service, by staff member, or by whoever is free first
  • Works on a phone as well as it does on a laptop
  • Styled to look like the rest of your website
02 — Reminders

The nudge that stops the empty chair

Most no-shows are forgetfulness, not rudeness. A confirmation on booking and a reminder the day before is the single cheapest thing you can do about it — and it sends itself.

  • Instant confirmation the moment they book
  • Reminder by email and text before the appointment
  • WhatsApp reminders where your customers prefer it
  • Customers reschedule from the message instead of not turning up
  • A follow-up afterwards, if you want one
03 — Deposits & Payment

Take the money when they book

A customer who has paid a deposit turns up. Take the full amount, a percentage, or nothing at all — the choice is yours, and it can differ by service.

  • Card or PayPal at the moment of booking
  • Full payment, a fixed deposit, or a percentage
  • Sell blocks of sessions as a package at a set price
  • Discount codes with your own rules and expiry dates
  • Tax and fees applied automatically
  • Refunds handled from the same screen
04 — Calendars & Video

One calendar, everywhere you look

Bookings appear in the calendar you already use, and your personal commitments block out time so nobody can book over your dentist appointment. It works both ways.

  • Two-way sync with Google, Outlook and Apple calendars
  • Busy time in your own calendar blocks the slot automatically
  • Zoom or Google Meet links created for online appointments
  • Time zones handled for customers booking from elsewhere
  • Each staff member gets their own calendar and working hours
05 — Staff, Rooms & Classes

More than one person, more than one room

Whether you have three stylists, two branches or a yoga class with twelve mats, the system handles who is free, where, and how many people can be booked into the same slot.

  • A calendar and working hours for every staff member
  • Several locations, each with its own hours and team
  • Group sessions with a minimum and maximum capacity
  • Staff sign in and see only their own day
  • Recurring appointments for regulars, set once
  • Add-on extras at the point of booking
What’s inside

Everything the booking system does

You will not need all of it on day one. It is here because businesses grow, and we would rather you never had to move to another system when yours does.

The booking form

A few clear steps — pick a service, pick a person, pick a time, done. It works on a phone and it never shows a slot you cannot actually keep.

  • Sits on your website, or on its own page
  • Shows your real free time, not a guess
  • Ask your own questions before they book

Your services, your way

Every service gets its own length, price and rules. A 20-minute trim and a three-hour colour do not have to behave the same way.

  • Group services into categories
  • Offer the same service at 30, 60 or 90 minutes
  • Buffer time before or after so you can breathe

Staff and their own hours

Each person has their own working days, their own services and their own login. Nobody sees anybody else’s diary unless you want them to.

  • Different hours per person, per day
  • Days off and holidays blocked out
  • Customers can pick a person or say “anyone”

More than one location

Two shops, three rooms, or a mobile service that comes to them. The system keeps each one separate so two people never end up in the same chair.

  • Separate opening hours per location
  • Rooms and chairs treated as bookable space
  • Staff assigned to the branches they work at

Classes and group sessions

Sell seats instead of slots. Set how many people a session needs to run and how many it can hold, and let the class fill itself.

  • Minimum and maximum places per session
  • Customers can book more than one seat
  • Session closes itself when it is full

Repeat bookings and packages

For the customers who come back every week. Book the whole run at once, or sell a block of sessions they draw down over time.

  • Weekly, fortnightly or monthly repeats
  • Sell six sessions, track what is left
  • Bundle services together at one price

Reminders that actually land

A confirmation the moment they book, then a nudge the day before. Sent by email, text message or WhatsApp — whichever your customers read.

  • Email, SMS and WhatsApp
  • You choose the timing and the wording
  • A thank-you or rebook message afterwards

Deposits and payment

Take the full amount, a deposit, or nothing at all — per service. Card and wallet payments go straight to your own merchant account.

  • Pay now, pay a deposit, or pay on the day
  • Major card and wallet processors supported
  • Refunds handled without a phone call

Invoices, tax and coupons

The paperwork side. Charge tax correctly, add a booking fee if you take one, and run a promotion without doing sums in your head.

  • Invoices and receipts sent automatically
  • Tax rates and service fees applied for you
  • Discount codes with dates and limits

Your calendar stays in sync

Bookings appear in the calendar you already use, and anything you block out there stops customers booking over it. It runs both ways.

  • Google, Outlook and Apple calendars
  • Personal appointments block your slots
  • One calendar per staff member

Online meetings, set up for you

If the appointment happens on a screen, the meeting link is created when they book and sent with the confirmation. Nobody has to chase it.

  • Video links generated automatically
  • Included in reminders as well
  • Mix online and in-person services

Customers get their own page

A private area where they can see what is booked, move it, cancel it within your rules, and book again without typing their details out afresh.

  • Reschedule and cancel by themselves
  • Past and upcoming appointments in one list
  • Your cancellation window, enforced

It talks to your other tools

New bookings can add the customer to your mailing list, drop a row in a spreadsheet, or land in your CRM — without anyone retyping anything.

  • Connects to our CRM and to mailing lists
  • Rules that fire when something happens
  • Works with the usual automation services

Numbers you can act on

Which services sell, which days are dead, who cancels and how often. Enough to decide whether Tuesday mornings are worth opening for.

  • Bookings, revenue and no-shows over time
  • Busiest hours and quietest days
  • A record of who changed what, and when

Who can see what

A receptionist does not need to see your takings. Roles let you decide exactly what each person can open, change or delete.

  • Separate roles for staff and managers
  • Hide prices and reports from front desk
  • Turn a login off the day someone leaves
Who it suits

If people book time with you, it fits

It does not care what the appointment is called. A haircut, a lesson, a site visit, a rental — it is all “somebody needs an hour of your day”.

This is a separate service from our $499 website packages. Booking is priced on its own because we host it, keep it updated and support it every month. If you already have a website with us, we install it into that site at no extra setup cost — you only pay the monthly plan above. Setup and configuration is quoted separately and depends on how many services, staff and locations you need us to build in.

Every plan

What you get whichever size you pick

We build it around you

You do not get a login and a manual. We put your services, your prices, your hours and your rules in before you ever see it, then walk you through it.

It looks like your business

Your logo, your colours, on your own web address. Customers book on your site and never see a piece of software they have not heard of.

We host and look after it

It runs on our servers. We do the updates and the backups, and if something breaks at 4pm on a Friday you call us, not a support queue overseas.

The money is yours directly

Payments go to your own card processor account. We never sit in the middle of your takings and we do not charge a commission on bookings.

Straight answers

What it will not do

Better you hear this now than find out in month two.

It will not stop every no-show. Reminders and deposits reduce them a great deal, because people either turn up or they have already paid something. But some people will still not come. Anyone promising you zero is selling you something.

It will not bring you customers on its own. It makes booking easy for people who already found you. Getting found is a different job — that is what your Google profile and search work is for.

It is not accounting software. It records what was booked, what was charged and what was paid, and hands your accountant clean figures. Filing your returns is still their job.

It cannot fix hours that are not really your hours. If the calendar says you are free at 3pm and you are not, customers will book 3pm. The system is only ever as honest as what you put into it — we will help you set that up properly at the start.

We do not lock your data up. If you leave, we export your customers and your booking history and hand them over in a format you can actually open. No exit fee, no charge for the export.

See your own diary in it

Twenty minutes on a screen share. We put your real services, your real hours and your real prices in, then you book a pretend appointment yourself and see exactly what your customer sees.

Common questions

Questions About Online Booking,
Answered Simply

Can I still take bookings over the phone?

Of course, and most businesses do both for a long while. You or your receptionist add the appointment in the back office and it blocks that slot online immediately. The point is not to stop people ringing you — it is to stop the ones who would rather not ring from giving up.

What stops two people booking the same time?

The slot disappears the moment somebody takes it. There is no window where two customers can grab the same appointment, and anything you block out in your own calendar — a dentist visit, a school run — closes that time online too, as long as your calendar is connected.

Do I have to take a deposit?

No. You can set it per service: pay the whole amount now, pay a deposit now, or pay nothing and settle on the day. Plenty of businesses only ask for a deposit on the long, expensive appointments where an empty chair really hurts.

Will it work with the website I already have?

In most cases yes. It goes into your existing site as a page or a button, so customers never leave your web address. If your current site is very old or hosted somewhere that will not allow it, we will tell you honestly at the walkthrough rather than after you have paid.

How long does it take to set up?

For a single person with a handful of services, usually a few days. For a shop with several staff, rooms, classes and payment rules it is more like one to two weeks, mostly spent agreeing how you actually want it to behave. We do the building — you answer questions.

What happens when a customer wants to cancel or move?

They do it themselves from their own page, within whatever window you set — say, up to 24 hours before. Outside that window the buttons are not there and they have to contact you, which is usually the point. Either way you get told straight away and the slot goes back on sale.

Do my staff need to learn something complicated?

They need to learn one screen: today’s diary. That is where they will live. Everything else — services, prices, rules, reports — is set up once by us and then mostly left alone. We train your team on the day it goes live and we are on the phone afterwards.

Is booking included in the $499 website package?

No. The booking system is a separate monthly service because we host it, keep it updated and support it every month. If your website is already with us we install it into that site at no extra setup cost, and you pay only the monthly plan. Setup for larger businesses is quoted separately.

Stop being the person who answers the phone

Twenty minutes, your own services in it, and you can decide afterwards.
