Staff Attendance App

Your team clocks in from the phone already in their pocket — no punch clock, no scanner, no fingerprint reader

Everyone clocks in and out on their own phone. You see who is on the clock right now, where they clocked in from, and exactly how many hours to pay — without buying a single piece of hardware.

What paper timesheets actually cost you

Nobody sets out to run a business on scraps of paper and a group chat. It just happens, one week at a time.

Friday night with a calculator

Somebody has to add up the week by hand, decipher the handwriting, and guess what “left early-ish” means. It takes hours, and it is never quite right.

Minutes that quietly add up

Fifteen minutes rounded up here, a forgotten break there. Across six people it is a wage you are paying for work nobody did.

No idea who is where

If your people work on sites, in vans or in customers’ homes, “I’m there now” in a text message is the only proof you have.

Nothing to show if it is questioned

A pay dispute, an insurance question, an audit. A shoebox of timesheets is not a record you can stand behind.

The rota lives in your head

Who is on Saturday? You know, but nobody else does — so you spend your evening answering the same question five times.

Payroll gets retyped, twice

Off the paper, into a spreadsheet, then into the payroll system. Every retype is another chance to get somebody’s pay wrong.

Key feature 01 — clock in

The time clock is the phone in their pocket

There is no box on the wall to buy, no fingerprint scanner to mount, no card reader to wire in. Your staff open the app on their own phone, tap once, and they are on the clock.

  • Works on iPhone and Android — and on a tablet by the door if you want one
  • No App Store download: it opens in the browser and pins to the home screen like any other app
  • Nothing to install or update on their phone, ever
  • Five different ways to clock in, so you can pick what fits your team
  • Works for one person or a hundred, on one site or twenty

Key feature 02 — proof

You know where they clocked in from

When somebody starts a shift, the app records where they were and, if you turn it on, takes a photo. Not a running tail on their day — a stamp at the moment they clock in and out.

  • Location captured at clock-in and clock-out, shown on a map
  • Optional photo taken by the phone camera to confirm it is really them
  • Set up as many job sites as you like and see which one each shift belongs to
  • The device’s network address is logged alongside it
  • Every shift keeps its own history, so nothing quietly changes later

Key feature 03 — payroll

Friday afternoon stops being a maths problem

The hours are already counted. Overtime is already worked out. Breaks are already taken off. You look it over, approve it, and export it to whoever runs your payroll.

  • Overtime calculated on the rules you set, not on somebody’s best guess
  • Paid or unpaid breaks handled properly and deducted automatically
  • Export to spreadsheet, CSV or PDF — whatever your accountant asks for
  • Feeds the common accounting and payroll packages without retyping
  • Fix a mistake by hand when you need to, with a record of who changed it

Key feature 04 — the rota

Everyone can see who is on, without asking you

Build next week’s schedule once. Your staff open the app and see their own shifts. The rota stops living in your head and your phone stops buzzing at nine on a Sunday.

  • Set the schedule for the week or the month and publish it to the team
  • Staff see only their own shifts, wherever they are
  • Set predefined shifts so people clock into the right one, not just “now”
  • Time zones handled properly if you have people in different places
  • Compare what was scheduled against what was actually worked

Key feature 05 — control

Managers decide, not whoever edits last

Not everybody should see everything. Roles decide who can approve a timesheet, who can only see their own hours, and who can change a shift after the fact.

  • Separate roles for managers, staff, contractors and volunteers
  • Build your own roles if those four do not match how you work
  • Shift edits can require a manager’s approval before they count
  • Full shift history, so you can see what a record looked like before
  • Charts by month and year showing hours and cost as they move
Five ways to clock in

Pick the one that suits your team

A crew on a building site and a receptionist at a front desk do not need the same thing. You can use one method or mix several.

Just tap the clock

One big button. They tap when they arrive, tap again when they leave. Nothing else to think about.

Onto a set shift

They pick the shift they are starting from the ones you have set up, so the hours land in the right place.

PIN pad

A shared tablet by the door and a personal PIN each. Nobody needs their own phone or their own login.

Pick your name

A list of everyone on today. They tap their own name and they are on. Good for a busy shift change.

Scan a QR code

Stick a code on the wall or the van. Scanning it proves they were physically at that site — no scanner to buy.

Every one of these runs on hardware you already own. A phone, a spare tablet, or a printed sheet of paper with a code on it. There is nothing to mount on a wall, nothing to wire in, and nothing to replace when it breaks.

What’s inside

Everything the attendance system does

Most businesses start with clock-in and timesheets. The rest is there when you want it, and it does not get in your way until then.

Clock in and out from anywhere

The core of it. Any phone, tablet or computer with a browser becomes a time clock — on site, in a van, or at a customer’s house.

  • Nothing to download from an app store
  • Pins to the home screen like a normal app
  • Works the same on iPhone and Android

Location on every shift

Where somebody was when they clocked in and out, plotted on a map. Not a live tail on their day — a stamp at each end of the shift.

  • Map view of every clock-in
  • Network address logged alongside it
  • Turn it off entirely if you would rather not

Photo verification

The phone camera takes a picture as they clock in, attached to the shift. It settles the “my mate clocked me in” question for good.

  • Optional, and per site if you want
  • Stored against that shift only
  • Visible to managers in the shift record

Breaks, paid or unpaid

Staff start and end a break the same way they clock in. Unpaid time comes off the total automatically, so you are not paying for lunch.

  • Set which breaks are paid
  • Deducted from the shift for you
  • Shown separately on the timesheet

Overtime, worked out for you

Set the threshold once and the system does the arithmetic. Overtime hours are flagged on the timesheet before you ever see the payroll.

  • Your own rules for when overtime starts
  • Flagged clearly on reports
  • Exported separately for payroll

Schedules and shifts

Build the rota for the week or the month, publish it, and let people look it up themselves instead of texting you on a Sunday.

  • Staff see their own shifts in the app
  • Predefined shifts to clock into
  • Compare planned hours against actual

Timesheets you can correct

Somebody forgot to clock out. It happens every week. A manager fixes it by hand in seconds, and the change is recorded.

  • Enter or amend a shift by hand
  • Fill in a whole week or month at once
  • Every edit leaves a trace

Approvals before it counts

Turn on approvals and an edited shift does not become real until a manager signs it off. Useful the moment you have more than one supervisor.

  • Edits queue for approval
  • Approve or send back with a reason
  • Nothing changes quietly behind you

Roles and permissions

Managers, staff, contractors and volunteers each see a different amount. Build your own roles if those four do not fit your business.

  • Staff see only their own hours
  • Managers see their own team
  • Custom roles for odd arrangements

As many job sites as you need

Every shift is tied to the place it happened. See hours by site, by crew, or by customer — which is how you find out what a job really cost.

  • Unlimited clock-in locations
  • Hours grouped by site on reports
  • Works for mobile crews and fixed premises

Reports and charts

Simple reports for a quick look and detailed ones for payroll. Monthly and yearly charts show your hours and your wage bill moving.

  • Simple and advanced shift reports
  • Charts by month and by year
  • Filter by person, site or date range

Exports that fit your payroll

Download the period as a spreadsheet, a CSV or a PDF. It slots into the common accounting and payroll packages without anybody retyping it.

  • CSV, PDF and spreadsheet formats
  • Works with the usual accounting software
  • Export shifts and sites for your own backups

Your own questions on the clock

Ask what you need at clock-in or clock-out — which van, which customer, what got done. The answers land on the shift and on the report.

  • Text boxes, dropdowns and multiple choice
  • Add a note to any shift
  • Answers show up in exports

Time zones done properly

If you have people in different places, or somebody travelling, the clock follows them. Hours stay right and nobody argues about the maths.

  • Fixed or following-the-device time zones
  • Reports read in your own time zone
  • Handles clock changes without drama
Who it suits

If you pay people by the hour, it fits

It does not care whether the work happens behind a counter, on a roof, or in somebody else’s kitchen. What it cares about is when it started and when it stopped.

If your people are hourly, shift-based, or spread across more than one place, this is what it was built for. If everyone is salaried and sits in one room, you probably do not need it — and we will say so. We also build dedicated websites for contractors and trades, salons, spas and barbershops, tax preparers and acupuncture clinics.

Optional add-on

Know where the tools are, too

The same idea, applied to your equipment. Laptops, power tools, vans, ladders, test kit — anything that walks off site and does not always walk back.

  • An entry for every asset with who has it and where it is
  • Printable barcode or QR asset tags, generated for you
  • Track what it cost, what it is worth now, and how it has depreciated
  • See the history of an item — who had it, when it moved
  • Export the whole register for insurance or your accountant

Priced separately from the plans below, because most businesses do not need it on day one. Mention it at the demo and we will quote it with the rest.

This is a separate service from our $499 website packages. Attendance is priced on its own because we host it, keep it updated and support it every month. If you already have a website with us, we install it into that site at no extra setup cost — you only pay the monthly plan above. Setup and configuration is quoted separately and depends on how many staff, sites and rules you need us to build in.

Every plan

What you get whichever size you pick

We set it up for you

Your staff, your sites, your shift rules and your overtime threshold are all in place before you see it. You do not get a login and a manual.

It carries your name

Your logo, your colours, on your own web address. Your team clocks into your company, not into a piece of software they have never heard of.

No hardware, ever

Nothing to buy, mount, wire in or replace. If a phone breaks, they use another one and carry on — there is no clock on the wall to be broken.

Your records stay yours

Leave whenever you like and we export the lot — staff, shifts, locations, timesheets — in a format you can actually open. No exit fee.

Straight answers

What it will not do

Attendance software touches people’s pay and people’s privacy, so it is worth being plain about the limits before you buy.

It does not follow your staff around. Location is recorded at the moment somebody clocks in and clocks out — not continuously, and not while they are off the clock. This is a time clock, not a tracking device, and we will not pretend otherwise to make a sale.

It is not payroll software and it does not file anything. It counts the hours and hands over clean figures. Working out withholding, running the pay run and filing returns is still your payroll provider’s job or your accountant’s.

We are not your employment lawyer. Recording where staff clock in, and how you store that record, is something you should tell your people about and check against your own obligations. We will help you set it up sensibly and we can turn location off entirely — but the policy is yours, and it is worth a conversation with your own advisor.

It cannot make people clock in. If half the team forgets for the first fortnight, that is normal and it passes — but the system will not do it for them. Managers can correct a missed clock-out in seconds, which is usually enough to get through the settling-in period.

It needs a signal to record the exact moment. Out of coverage in a basement or a rural site, the clock-in lands when the phone reconnects. If that is a daily problem for your crews, a shared tablet with a PIN pad at the gate is usually the better answer — we will tell you that at the demo.

Common questions

Questions About Staff Attendance,
Answered Simply

Do my staff have to download an app from the App Store?

No, and that is deliberate. It opens in the browser on their phone and pins to the home screen, so it looks and behaves like an app without anybody waiting on a download or an update. It works the same way on iPhone and Android, and if somebody changes phone there is nothing to reinstall.

What if a member of staff does not have a smartphone?

Put a cheap tablet by the door and give them a PIN. They tap their number and they are on the clock — no phone, no login, no email address needed. Plenty of businesses run a mix: phones for the people out on the road, a tablet for everyone on site.

Can somebody clock in for their friend from home?

That is exactly what the location check and the photo are for. The shift records where the phone was, and if you turn photos on it takes a picture at the moment they clock in. For sites where you want it airtight, a QR code stuck on the wall means they have to physically be there to scan it.

Are you tracking my staff all day?

No. Location is captured at clock-in and clock-out, and nowhere in between. There is no live map following people around and nothing is recorded once they clock off. You can also switch location off completely and still use everything else — some businesses do.

Does it work with my payroll or accounting software?

It exports the period as a spreadsheet, a CSV or a PDF, which is what the common accounting and payroll packages take. Tell us at the demo which one you use and we will show you the export it produces, so you can check it before you commit rather than after.

What happens when somebody forgets to clock out?

It happens every week in every business. A manager opens the shift and corrects it by hand in a few seconds. If you turn on approvals, that correction has to be signed off before it counts towards pay, and the original is kept in the shift history so nothing disappears quietly.

How long does it take to get running?

For a handful of staff at one location, usually two or three days. For several crews, multiple sites, custom roles and approval rules, expect one to two weeks — most of that spent agreeing how you want it to behave rather than building it. We do the setup and train your team on the day it goes live.

Is this included in the $499 website package?

No. Attendance is a separate monthly service because we host it, keep it updated and support it every month. If your website is already with us we install it into that site at no extra setup cost and you pay only the monthly plan. Setup for larger teams is quoted separately.
